How Much Does an Exhibition Stand Cost? 2026 Cost Overview with Worked Examples

In Germany in 2026, an exhibition stand costs, depending on size and type of build, between around €3,500 for a small system stand including set-up and dismantling and €80,000 or more for a custom-built stand of 100 m² or larger. As a rule of thumb, stand construction alone costs €300 to €1,000 per square metre: system stands sit at the lower end, custom builds with furniture, technology and graphics at the upper end. On top of this come space rental from the organiser, logistics, staff and additional costs, which together usually amount to as much as the stand itself. If you want to plan your total costs realistically, budget for two to three times the stand construction price.

The figures in this article are based on our own projects and quotations from recent years. They are guide values for trade fairs in Germany, Austria and Switzerland – as of September 2026 – and are no substitute for a quotation. The cost components of a trade fair presence

The question “How much does an exhibition stand cost?” has two answers: the price of the stand itself and the price of your entire trade fair presence. Anyone who budgets only for the stand usually underestimates the total by half. These items belong in every trade fair budget:

  • Space rental: You rent the floor space from the organiser. At leading international trade fairs in Düsseldorf, Frankfurt, Munich or Hannover, prices are usually between €250 and €500 per square metre, and considerably lower at regional fairs. Corner stands, peninsula stands and island stands carry a surcharge of 10 to 30%, depending on the fair.
  • Stand construction: Planning, design, production, set-up and dismantling of the stand. This is the part EXFAIR delivers, and the part this article breaks down in detail.
  • Furnishings and technology: Furniture, counters, display cases, monitors, lighting, kitchen, fridge. Depending on requirements, 10 to 25% of the stand construction price, and correspondingly less with hired furniture.
  • Graphics and communication: Large-format prints, fabric coverings, light boxes, digital signage. Typically €1,500 to €5,000 for a 30 m² stand.
  • Logistics: Transport, storage, delivery to the hall, storage of empty packaging, disposal. For a typical 30 m² stand, logistics, storage and installation account for 35 to 45% of the total stand construction costs.
  • Organiser’s additional costs: Power connection, water, internet, stand cleaning, waste fees, exhibitor passes, parking, marketing fee. Often €1,500 to €4,000 per fair, none of which appears on a stand construction invoice.
  • Staff and travel: Hotel, travel, expenses for stand staff and, where applicable, hostesses and catering. With four people and four days at the fair, this quickly adds up to €5,000 to €8,000.

As a guide: for a 50 m² stand at a leading trade fair, the total budget is split roughly into one third space rental, one third stand construction including logistics, and one third furnishings, additional costs and staff.

Stand construction costs by type of build

System stand: from €3,500

A system stand consists of modular aluminium frames with fabric or panel infills. The elements are configured and printed for your trade fair and, after the fair, put into storage or taken back. At EXFAIR, a system stand starts at around €3,500 net including set-up and dismantling – equivalent to an inline stand of 9 to 12 m² with back wall, counter, lighting and graphics. For 20 to 30 m², expect €6,000 to €12,000; for 50 m², €15,000 to €22,500. Per square metre, a system stand therefore costs €300 to €450.

The main advantage: if you buy the stand and use it several times, from the second fair onwards you only pay for logistics, set-up and dismantling and, if required, new graphics. A graphics update costs €300 to €800 instead of a new build.

Rental stand: from €2,500

If you exhibit only once or twice a year, renting the stand makes sense. You pay for configuration, graphics, set-up and dismantling, not for the material. A rented system stand of 12 m² costs €2,500 to €5,000; one of 30 m² costs €6,000 to €12,000. From about three uses onwards, buying is more economical. Custom build: from €15,000

With a custom build, the stand is designed for your brand and manufactured in our workshop: timber construction, free forms, ceiling elements, integrated technology, meeting rooms, storage. Entry price at EXFAIR: around €15,000 net. Typical ranges by stand size:

  • 20 to 50 m²: €15,000 to €35,000
  • 50 to 100 m²: €35,000 to €80,000
  • 100 to 200 m²: €80,000 to €180,000
  • over 200 m² or two-storey: from €180,000, with no upper limit

Per square metre, a custom build costs €600 to €1,000, or more with a two-storey structure, full glazing or elaborate media technology. More on this type of build under Custom build.

Hybrid: custom solutions on a system basis

In between lies the combination of system frames and individual elements such as light walls, acoustic panels or meeting cabins. You get an individual presence at 60 to 70% of the cost of a custom build, because the basic framework remains reusable. Examples under Custom solutions.

Cost overview by stand size

The following ranges apply to stand construction including planning, graphics, transport, set-up and dismantling – excluding space rental and additional costs. They reflect what we typically calculate in our quotations:

  • 9 to 12 m² (inline stand): system stand €3,500 to €5,500, rental stand €2,500 to €4,500, custom build rarely worthwhile at this size
  • 15 to 25 m² (inline or corner stand): system stand €5,000 to €10,000, rental stand €4,000 to €8,000, custom solution on a system basis €9,000 to €16,000
  • 30 to 50 m² (corner or peninsula stand): system stand €9,000 to €22,500, custom solution €15,000 to €30,000, custom build €20,000 to €40,000
  • 60 to 100 m² (peninsula or island stand): custom solution €25,000 to €50,000, custom build €40,000 to €85,000
  • 120 to 200 m² (island stand): custom build €80,000 to €180,000
  • 250 m² and above, or two-storey: custom build from €200,000

A stand with a meeting room, kitchen and storage room sits at the upper end of the range, an open presentation stand with counter and back wall at the lower end. The stand type itself – inline, corner, peninsula, island – affects the stand construction price less than the space rental, because the organiser charges surcharges for open sides and because every open side needs to be designed.

System stand, custom solution or custom build – which type of build suits your budget?

The type of build has a greater influence on price than the size. A system stand is the right choice if you exhibit several times a year, your stand size varies, your budget is below €20,000 or the trade fair takes place in less than eight weeks. You get a clean, on-brand presence that can be set up in two hours and that you can reuse for years.

A custom solution on a system basis is suitable if you need individual highlights – a light wall, an enclosed meeting cabin, a product platform, acoustic panels – without building the entire stand individually. You pay for the highlights, not for the basic framework.

A custom build is worthwhile from around 50 m² if the stand is part of your brand management, if you need architecture, ceiling elements or two-storey space, or if the stand has to hold its own against industry competitors at a leading trade fair. We also store custom builds and reuse them at subsequent fairs – walls, furniture, technology and ceiling elements are retained, and essentially only graphics, logistics and installation are recalculated.

When are the various costs due?

For liquidity planning, the timing of payments is just as important as the amount. Space rental is usually due 6 to 12 months before the fair, on registration, often in two instalments. For stand construction, a deposit on placing the order is customary in the industry, with the balance invoiced after the fair – the exact terms are set out in the quotation. Organiser’s additional costs such as electricity and cleaning are ordered via the exhibitor portal 4 to 8 weeks before the fair and invoiced directly. Staff, travel and catering costs arise in the week of the fair. If you store the stand between fairs, you pay a monthly storage fee based on volume and duration.

Why small stands cost more per square metre

A 9 m² stand often costs twice as much per square metre as a 60 m² stand. The reason is fixed costs that arise regardless of size: planning and 3D visualisation, transport, travel for the installation team, hall registration, power connection. On large stands, these items are spread over a larger area. If you are undecided between 12 and 20 m², you will therefore usually get the additional 8 m² of stand construction for less than the per-square-metre price of the space rental.

What drives the price up – and what doesn’t

Our quotations from recent years clearly identify the cost drivers. Costs rise with ceiling elements and suspended structures (approval, rigging, safety inspection), two-storey construction (structural engineering, stairs, fire protection), full glazing and special paint finishes, large-scale media technology, elaborate flooring such as parquet or natural stone, and short lead times of under eight weeks, which trigger express surcharges from printers and suppliers.

By contrast, the following make little difference: the size of graphics within a system, LED instead of halogen, FSC-certified timber instead of conventional timber, the colour of the fabric covering and the number of counters within a standard range. So if you want to save money, save on construction and lead time, not on materials.

Three worked examples

12 m² inline stand, system build, regional trade fair

  • Space rental: 12 m² × €180 = €2,160
  • System stand with counter, lighting, graphics, set-up/dismantling: €4,500
  • Hired furniture, monitor: €600
  • Organiser’s additional costs (electricity, cleaning, passes): €900
  • Staff and travel, 2 people, 2 days: €1,200
  • Total: around €9,400

50 m² corner stand, custom solution on a system basis, leading trade fair in Stuttgart or Nuremberg

  • Space rental: 50 m² × €320 + corner surcharge = €17,600
  • Stand construction with light wall, meeting cabin, storage room, graphics, set-up/dismantling: €24,000
  • Furnishings and technology: €3,500
  • Organiser’s additional costs: €2,800
  • Staff and travel, 4 people, 4 days: €6,000
  • Total: around €54,000

100 m² island stand, custom build, MEDICA Düsseldorf or Hannover Messe

  • Space rental: 100 m² × €420 + island surcharge = €50,000
  • Custom build with ceiling element, kitchen, two meeting rooms, media technology, set-up/dismantling: €75,000
  • Furnishings, catering equipment, digital signage: €9,000
  • Organiser’s additional costs including rigging approval: €6,000
  • Staff and travel, 8 people, 5 days: €18,000
  • Total: around €158,000

How to reduce costs without visitors noticing

Booking early is the biggest lever: with 16 weeks’ lead time for custom builds and 8 weeks for system stands, you avoid express surcharges and have a choice of suppliers. A stand designed for reuse costs just as much as a single-use stand at its first fair, but only a fraction of that from the second fair onwards – we store your stand between fairs. Tax and invoicing

For companies based in Germany, trade fair costs are business expenses; VAT is deductible as input tax. A purchased system stand is depreciated as a fixed asset over its useful life, while a rented stand is booked immediately as an expense. Exhibitors from the EU receive our invoice under the reverse-charge procedure without German VAT; exhibitors from Switzerland and other non-EU countries likewise receive it without German VAT. How much does an exhibition stand cost per square metre?

What is included in the price of a system stand?
