The full scope of exhibition logistics
Exhibition logistics covers significantly more than transport. It includes: packing and crating of stand components, hall access permits and delivery scheduling, coordination with trade fair freight forwarders, loading dock management, in-hall transport to the stand position, return transport after dismantling, and interim storage between trade shows. Each of these steps has its own requirements and failure points.
Common logistics failures and how to avoid them
Late ordering of hall services
Electricity, water, internet and compressed air connections must be pre-ordered from the trade fair's official service provider, often six to eight weeks before the show. Orders placed after the deadline incur penalty charges and may not be fulfilled at all. Book early, without exception.
Underestimating packing complexity
Modular stand components are precision-engineered to pack in a specific configuration. Improvised repacking on site, usually because the original packing was not documented, leads to component damage and missing parts. Professional crating, clearly labelled by component group, eliminates this risk entirely.
International transport planning
For trade shows outside Germany, allow four to six additional weeks for transport planning. This includes customs documentation, import and export permits, insurance and carrier booking. Air freight is available for urgent shipments but significantly increases cost. Sea and rail freight are the standard for European and intercontinental transport.
Customs documentation for non-EU exhibitors
Exhibitors from outside the European Union need an ATA Carnet or equivalent temporary import documentation to bring stand materials into the EU without paying import duty.
